At Bottled Up Blokes C.I.C., your trust and privacy are incredibly important to us. Because we provide mental health support, we treat all your information with the highest levels of confidentiality. This notice explains what data we collect, why we need it, and how we keep it safe.
1. Our Services & What We Collect
Face-to-Face Weekly Support Groups: These groups operate on a completely anonymous, drop-in basis. We do not collect your name, phone number, or any booking details. What is said in the room stays in the room.
Weekly Football & Social Sessions (Calendly & Eventbrite): When you book a session or social outing (like bowling or pool), we ask for your name, email address, and phone number so we can manage your booking. For physical sessions, we also ask for an emergency contact and any relevant medical conditions strictly to keep you safe.
Annual Residential Weekend Away (Eventbrite): To look after your health and safety during travel and overnight activities, we collect your contact details, emergency contact, and relevant medical information. This sensitive data is only shared with trip leaders on a strict “need-to-know” basis.
Online and Direct Bank Donations:
If you donate via our website using Buy Me a Coffee, payments are handled securely through their platform (via Stripe/Apple Pay/Google Pay). We only see the name or handle you input, the donation amount, and any message you leave.
If you donate or transact via Direct Bank Transfer, your account name, sort code, and account number will appear on our bank statements for accounting purposes.
Note: Bottled Up Blokes C.I.C. never sees, handles, or stores your credit/debit card numbers or private banking login details. All digital payments are handled by secure, external third-party processors.
Social Media & Messaging (Facebook & WhatsApp):
The questions you answer to join our private Facebook group are used strictly to verify your membership and are not exported or saved.
If you join our 1 official WhatsApp group, please be aware that your phone number will be visible to other members of that group. (Any other user-created WhatsApp groups are completely independent and are not managed by us).
2. How We Store and Protect Your Data
Digital Security: All digital records (such as volunteer lists and donation emails) are kept in password-protected, secure environments accessible only by authorised C.I.C. Directors.
Paper Records: We avoid printing data. If a printed list is required for safety checks during a football session or residential trip, it is kept physically secure and immediately shredded after the event.
Data Retention: We review our records regularly. If you haven’t booked or attended a session with us for 12 months, your booking details and medical declarations are securely deleted. Financial transaction data on bank statements is legally held for 6 years to comply with UK tax law.
3. Your Rights
Under UK data protection laws, you have full control over your data. You have the right to:
Request a copy of the data we hold about you.
Ask us to correct any incorrect information.
Request that we delete your personal details from our booking and communication systems.
